Group Booking Terms and Conditions

Payment Terms

  • Full pre-payment is required unless alternative arrangements have been pre-arranged

  • Company cheques are only accepted to the value of the cheque guarantee card

  • A non-refundable deposit of £500.00 will be required to confirm your booking

  • 21 days prior to your booking, 50% of the final account will be required

  • The outstanding balance is due 7 days to arrival

  • If the account is being settled by the company, settlement is required within 14 days of the invoice date

The Booking

Final numbers are required 21 days prior to arrival & a rooming list is required 7 days prior to arrival. Arrangements must be agreed in advance for set meal times. Check in time on day of arrival is from 2pm, check out time on day of departure is 11am unless prior arrangements have been agreed.

Cancellation by the client

The Queens Hotel reserves the right to raise the following charges in the event of cancellation:

  • Over 6 weeks prior notice - No charge

  • 3-6 weeks prior notice - 50% of the total bill

  • Less than 21 days notice - 100% of the total bill

Full charges will be made on any guest not attending.

Cancellation by the Queens Hotel

The Queens Hotel reserves the right to cancel without compensation any booking if the Hotel or any part of it is closed due to repair or refurbishment in which case it will give at least 60 days notice of cancellation.

All cancellations / amendments made by either the client or The Queens Hotel must be confirmed in writing, and a signed confirmation returned.

The Queens Hotel cannot accept liability or pay any compensation where the performance of its obligations is prevented or affected directly or indirectly by or as a result of force majeure or any circumstances beyond its reasonable control.

The Queens Hotel shall not be responsible for the loss or damage of any articles left in the hotel. The client will be liable for the cost of any repairs required as a result of damage to any part of the hotel or equipment, due to negligence of default of any person invited by the client or the client themselves. The affixing of signage, displays & wall posters may only be carried out with hotel consent. No food or beverage may be brought onto the premises by any guest for consumption on the premises.
